Information on cookies and the processing of personal data on the University Portal system sites

Site management method with regard to the processing of the personal data of the users who consult it.

The EU Regulation No. 2016/679, hereinafter referred to as "GDPR", lays down rules on the protection of individuals with regard to the processing of personal data, as well as rules on the free movement of data.

Pursuant to Art. 13 of the aforementioned Regulation, the University of Ferrara, in its capacity as Data Controller of your personal data, provides the following information. 

Why is this notice necessary?

This information is provided in accordance with Art. 13 of EU Regulation No. 2016/679 (GDPR), to those who interact in general with the Portal system of the University of Ferrara starting from the address: http://www.unife.it, corresponding to the home page of the University’s official Portal (hereinafter also referred to as the Portal System).

This information is provided for all the sites of the "University Portal System" and not for other websites that may be consulted by the user via links.

The information is also based on Recommendation No. 2/2001, which the European authorities for the protection of personal data, meeting in the Group set up by Art. 29 of Directive No. 95/46/EC, adopted on 17th May 2001 to identify certain minimum requirements for the collection of personal data online and, in particular, the methods, timing and nature of the information that data controllers must provide to users when they browse web pages, regardless of the purpose of the browsing.

Categories of data processed

The University of Ferrara, in its capacity as data controller, hereby informs you that data relating to identified or identifiable persons may be processed following the entry of your information on this site or through authentication to University web services. These are, for example, IP addresses and domain names of computers used by users/visitors browsing on unife.it. This personal data is normally collected for statistical surveys, managed anonymously and used to facilitate navigation on the unife.it website.

Purposes of using cookies

The unife.it website uses tracking cookies, which are short strings of text that are sent from the site server to the user's/visitor's browser and are automatically saved on the user's/visitor's computer. The cookies we use also allow us to improve the service we provide to our users, making it more effective and/or enabling certain features.

Cookies used

The Portal System sites use two types of cookies: session cookies for authentication (online services and restricted areas) and load balancing, and tracking cookies (Google Analytics).

Session cookies

Portal system sites use:

- Session cookies, essential for managing authentication to online services and restricted areas. The use of such cookies (which are not permanently stored on the user's computer and are deleted when the browser is closed) is strictly limited to the transmission of session identifiers necessary to enable the safe and efficient browsing of the website.

- Session cookie for load balancing, to optimise website performance by reducing page load times.

Disabling these cookies does not allow you to use some of the online services.

Third-party analytical/tracking cookies

The University uses the Google Analytics service of the company Google, Inc. (hereinafter referred to as 'Google') for the generation of statistics on the use of the web portal; Google Analytics uses (non-third-party) cookies that do not store any personal data. The information generated by the cookie about your use of the website (including your IP address) will be transmitted by your browser to and stored by Google on servers at 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. By using the Portal System websites, you consent to the processing of data about you by Google in the manner and for the purposes set out above.

According to the terms and conditions of the service, Google will use this information, in its capacity as an autonomous data controller, with the aim of tracking and examining the use of the website, compiling reports on website activity for the use of the operators of said website and providing other services relating to website activities, connection methods (mobile, pc, browser used, etc.) and methods of research and reaching the portal pages. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf. Google will not associate IP addresses with any other data held by Google.

Tracking cookies can be disabled without any consequence on the navigation of the portal: to disable them see the next section "How to disable cookies (opt-out)".

Third-party websites and services

The Facebook Pixel cookie is installed, which allows you to monitor the conversions that occur on your website as a result of the advertisements you are running on Facebook. For example, if you want to monitor the adherence to a particular campaign advertised on Facebook, the cookie tells Facebook each time a user has adhered to a particular campaign on the University of Ferrara website. Facebook compares the conversion event with the group of people to whom the ad was shown or who clicked on it, in order to provide the University of Ferrara with information that helps it understand the return on investment of its advertising campaign.

The Portal System websites may contain links to other websites that have their own privacy policies. The University is not responsible for the processing of data carried out by these sites.

How to disable cookies (opt-out)

To disable all cookies

You may refuse to consent to the use of cookies by selecting the appropriate setting on your browser: unauthenticated browsing on the Portal System websites will still be fully available.

To disable only Google Analytics cookies

Alternatively, it is possibile to disable only the Google Analytics cookies, by using the opt-outadd-on  provided by Google for the main browsers. In this way, it will also be possible to use the online services of the Portal System sites.

To delete cookies already stored on the PC 

Even if permission to use third-party cookies is revoked, cookies may have already been stored on the PC prior to such revocation. For technical reasons, it is not possible to delete such cookies, but your browser allows you to delete them in your privacy settings. The browser options contain the "Delete browsing data" option, which can be used to delete cookies, site data and plug-ins.

Telematic traffic data

The computer systems and software procedures used to operate the Portal System sites acquire, during the course of their normal operation, certain personal data whose transmission is implicit in the use of Internet communication protocols or is used to improve the quality of the service offered.

This information is not collected in order to be associated with identified interested parties, but by its very nature could, through processing and association, allow users to be identified.

This category of data includes the IP addresses or domain names of the computers used by users connecting to the site, the URI (Uniform Resource Identifier) addresses of the resources requested, the time of the request, the method used to submit the request to the server, the size of the file obtained in response, the numerical code indicating the status of the response given by the server (successful, error, etc.) and other parameters relating to the user's operating system and computer environment. The provision of data is mandatory. This data is kept for six months, unless otherwise provided for in applicable legislation.

This data is used to obtain anonymous statistical information on the use of the site and to check the correct functioning of the computer systems. The data could also be used to ascertain liability in the event of hypothetical computer crimes or in the event of damage to either the University or to third parties. Such data is processed in compliance with the “GDPR” and can be sent to the Judicial Authority in the cases foreseen by law.

Provision of data

The optional, explicit and voluntary sending of e-mails, messages or any type of communication addressed to the addresses indicated on this portal entails the subsequent acquisition of the sender's address or any other personal data that will be used to respond to requests. 

Specific summary information will be progressively reported or displayed on the pages of the sites set up for particular services on request.

Legal basis of data processing

Your personal data is processed in the performance of public interest tasks or in any case related to the exercise of public powers vested in the University. 

Optional provision of data

Apart from what has been specified for cookies and navigation data, the user is free to provide the personal data indicated in the forms on the Portal System websites or indicated during contacts with the University to request the sending of informative material, other communications or to access specific services.

Failure to provide such information may make it impossible to obtain the information requested.

Data processing methods

Personal data is processed exclusively for institutional purposes, with automated tools for the time strictly necessary to achieve the purposes for which it is collected and in compliance with the security measures provided by the University, by persons within the University itself, authorised to process them, who are given appropriate operating instructions regarding measures and precautions aimed at the effective protection of your personal data.

Recipients or categories of recipients of personal data

The data collected will not be disclosed or communicated to third parties, except in the cases provided for in the information notice and/or the law and, in any case, in the manner permitted by it.

The data may be disclosed to the data processors or persons in charge of the processing, within the scope of their respective functions and in accordance with the instructions received, only for the achievement of the specific purposes indicated in this statement.

Transfer of data to third-party countries or international organisations

Your data will not be transferred to a recipient in a third-party country or to an international organisation

Retention period

Your data is kept for a period not exceeding that which is necessary for the purposes for which it is processed.

The data will be stored in accordance with current legislation on the retention of administrative documents.

Rights of the data subject in relation to the data controller and the Italian Data Protection Authority

As a data subject, you may exercise the following rights in relation to the University, using the contact details of the data controller:

  1. The right to access your data;
  2. The right to rectify or supplement incomplete data;
  3. The right to delete your data;
  4. The right to restrict data processing in the cases referred to in Art. 18 of the GDPR;
  5. The right to object to the processing of your data.

As a data subject, you also have the right to lodge a complaint with the Italian Data Protection Authority (Art. 77 of the GDPR), or to take legal action (Art. 79 of the GDPR).

Right to withdraw consent

As a data subject, you have the right to withdraw your consent at any time, without prejudice to the lawfulness of the processing based on your consent before withdrawal.
